Improvement of Long-Term Capacity Planning
Explore how we improved a client’s long-term capacity planning with a model tailored to the unique needs of the client.
GOOD STORIES
In just three months, our Improvement team implemented a performance-driven culture across multiple departments and teams in a large pharmaceutical company. Visual performance management served as a central tool in this transformative process. The implemented initiatives ensured the alignment between the day-to-day operations and the overall strategy that had been lacking.
THE CHALLENGE
A large pharmaceutical company sought assistance from our team due to a lack of motivation and control within the team and operations, leading to challenges. Our role was to identify the root cause of these critical issues. The company faced challenges in releasing batches on time, resulting in the disposal of valuable products. Through close collaboration with various departments and sub-teams, we identified that the lack of measurable goals and milestones within the teams contributed to a misalignment between day-to-day operations, prioritization, and the overall strategy.
The investigation revealed a lack of production overview and awareness of both daily and overall goals. It became clear that the introduction of visual performance management was imperative to instill the necessary clarity and eliminate the persistent state of surprise.

OUR APPROACH
To ensure engagement and commitment from all team members, our team closely collaborated with the client throughout the entire process. This involved assessing the current governance structure and company strategy, breaking down the strategy into measurable and realistic KPIs for each department, and, subsequently, for sub-teams.

THE RESULTS
The efforts resulted in visual performance boards tailored to individual teams in all departments. The visual performance boards ensured transparency, clarity, and measurability while the development process ensured that the employees were committed and felt ownership of the goals and a motivation to continue to use the solution.

LONG-TERM IMPACT
To ensure the solution’s sustainability and ongoing usefulness, our team conducted a comprehensive onboarding and coaching initiative for facilitating board meetings and using performance boards.
This approach ensured a seamless handover, concluding with an evaluation of board meetings and the solution’s structure. The evaluation provided valuable feedback for further refinement. It ensured ongoing employee use of the solution. Continuous relevance is maintained through the ability to update the visual performance boards.
As a result, these boards remain a cornerstone in employees’ daily workflows, solidifying their position as a key element in the enduring success of the implemented solution.

HAVE A QUESTION
Visual performance management (VPM) is a system that uses visual tools like boards, dashboards, and KPIs to make production processes transparent and measurable. It helps teams track progress, align with strategic goals, and improve decision-making through clear, real-time performance indicators.
Visual performance management enhances team alignment by translating organizational strategy into visible, actionable metrics. By displaying KPIs and goals on visual boards, all team members can see how their daily work connects to overall business objectives, fostering clarity, ownership, and motivation.
In pharmaceutical companies, visual management helps streamline complex processes, ensure compliance, and improve on-time delivery. By making production performance visible, it supports proactive problem-solving, reduces batch release delays, and strengthens cross-departmental collaboration.
A successful VPM system includes:
Implementation involves assessing current processes, identifying key metrics, co-creating visual boards with team input, and providing training to ensure effective usage. Regular feedback and updates help maintain the system’s relevance and sustainability over time.
Long-term benefits include improved process transparency, better decision-making, enhanced employee engagement, reduced waste, and stronger alignment between daily operations and organizational strategy. Visual boards also help embed a continuous improvement culture within teams.
